Choose the right channel

Contact WheelHouse Health

The most useful contact route depends on your task. Book non-emergency care through the official scheduler, use the designated patient portal for current-patient clinical communication, and reserve phone or ordinary email for administrative questions that do not include private medical details. WheelHouse Health does not monitor any website channel for emergency response.

Use the contents list to move directly to the question or decision that matters to you.

Start here

Choose the route that matches what you need to do

A clear route protects your privacy and helps the practice understand the task. New and returning patients seeking a non-emergency appointment should begin with the official booking system. Current patients who need to send a non-emergency clinical message, review assigned information, or follow a care instruction should sign in to the designated patient portal. People with general questions about service categories, memberships, location eligibility, or finding a link may call or email the administrative contact.

Do not send the same request through every channel. A portal message, administrative email, voicemail, and scheduler entry can create separate records with different amounts of information. Use the route requested by the practice, then keep follow-up in that route unless you are directed elsewhere. If you reach the wrong place, share only the minimum information needed for the team to redirect you.

This Contact page does not create a clinician-patient relationship, confirm eligibility, reserve a time, or establish that a particular service is appropriate. A clinician may need records, an examination, testing, or another setting before a care decision can be made. Public contact channels are designed for navigation and administration, not for diagnosis.

  • Book a non-emergency appointment: official online scheduler.
  • Send a non-emergency clinical message as a current patient: patient portal.
  • Ask a general administrative question: (571) 402-2102 or admin@wheelhh.com.
  • Get help for a possible emergency: call 911 or seek immediate emergency care.
Keep in mind

Do not email symptoms, diagnoses, medicines, records, test results, identity documents, insurance images, or wound and skin photographs. Ask where to send requested information, then use the designated patient system.

Safety first

Do not use contact channels for emergency response

WheelHouse Health does not provide emergency dispatch or continuous monitoring through wheelhh.com, ordinary email, portal messages, voicemail, or routine scheduling. These channels may not be reviewed immediately. If you think a condition could threaten life, breathing, circulation, brain function, or safety, call 911 or seek immediate emergency care. Do not wait for a reply from the practice and do not drive yourself when emergency guidance advises against it.

Examples of possible emergencies include chest pain, serious trouble breathing, signs of stroke, uncontrolled bleeding, loss of consciousness, a severe injury, seizure, severe allergic reaction, or a person who is rapidly becoming confused or difficult to wake. This list is not complete. When you are unsure whether the situation is an emergency, emergency services can help assess the immediate need.

An urgent concern is also not automatically suitable for email or telehealth. New severe symptoms, rapidly worsening infection, a cold or discolored limb, serious dehydration, or a wound that is deteriorating may need prompt hands-on assessment. The safest setting depends on the symptoms and the equipment or testing required. Cost or convenience should not be the reason to delay urgent or emergency evaluation.

  • Possible emergency: 911 or immediate emergency care.
  • Severe or rapidly worsening non-emergency concern: use an appropriately equipped urgent setting.
  • Routine non-emergency concern: review booking options.
  • Administrative question: call or email without medical details.

New care

Use the scheduler for a non-emergency appointment

The official scheduler is the best place to review appointment types and currently available times. Read the description for the selected service before proceeding. A general booking option may not include every procedure, location, or plan benefit. If the purpose is unclear, ask an administrative question without describing the medical concern in ordinary email. The team can point you toward the appropriate public option; the clinician makes the clinical-fit decision.

Complete intake information only through the system the practice identifies. Be prepared to verify identity, contact information, physical location at visit time, and consent where requested. For the encounter, have a current medicine and allergy list, preferred pharmacy, relevant records, and a concise symptom timeline ready. Use a private place and test the device for telehealth. Do not upload photographs or records unless the designated workflow requests them.

A scheduled time is not a promise of a prescription, procedure, home visit, specialist service, or complete virtual resolution. The clinician may need testing, records, an in-person examination, referral, urgent care, or emergency evaluation. If your condition changes before the appointment, reassess the care setting instead of assuming the scheduled visit remains appropriate. Cancel or reschedule according to the instructions attached to the appointment or applicable agreement.

Current patients

Keep clinical communication in the designated portal

Current patients should use the patient portal for non-emergency clinical communication, documents, and other tasks the practice assigns there. Use the official portal link from wheelhh.com and check the destination before entering credentials. Do not share a password or one-time code. Sign out on a shared device. If you believe someone else accessed your account, use the portal provider’s recovery process and notify the practice through the published administrative route without sending additional clinical details.

A portal message is not continuous monitoring, an emergency service, or a guaranteed same-day response. Use it for the tasks the practice identifies as appropriate, such as a non-urgent question tied to an established plan or a requested follow-up detail. Do not assume that sending a photograph, reading, refill request, or new symptom creates an appointment or changes the plan. Wait for clinical direction, and use a more immediate setting if the situation worsens.

If you cannot sign in, first confirm that you are using the official portal and the correct account. Use the available password-recovery process. For unresolved access trouble, call the administrative number and say that you need portal access help. The team can route the account problem without requiring your diagnosis or medication information in voicemail or email.

General questions

What can I ask by phone or ordinary email?

Administrative channels can help you navigate public information. Appropriate questions include how to find the booking link, which public service page explains an option, whether the practice can check location eligibility, how to reach the portal, or where to review membership materials. You may also identify an accessibility or communication accommodation you need for using the website or arranging contact. The practice should confirm what it can provide rather than making an assumption from a general message.

Keep the message brief. Provide your name, a callback method, and the administrative task. A subject line such as “appointment type question,” “portal access help,” “membership information,” or “service-area check” is enough. Do not put the medical reason for the request in the subject or body. If identity verification is needed before account-specific information can be discussed, follow the verification method the practice provides.

The listed email address is admin@wheelhh.com and the telephone number is (571) 402-2102. The website does not state a guaranteed response window, after-hours service level, or text-message workflow. Do not assume a missed call creates a clinical request or that the number is monitored for text messages. Use the booking or portal route when those systems are the stated destination.

  • Safe email: “Please tell me where to find current membership terms.”
  • Safe email: “I need help locating the patient portal.”
  • Avoid: symptom descriptions, records, prescriptions, photographs, or test values.
  • Avoid: urgent requests that depend on immediate review.
Keep in mind

Phone: (571) 402-2102. Email: admin@wheelhh.com. Location reference: Lake Ridge, VA 22192. The Lake Ridge listing should not be treated as a walk-in care address unless the practice directly confirms that function.

Location eligibility

Confirm where and how care is available

Telehealth eligibility is confirmed for each encounter based on the patient’s physical location at the time of care, the clinician’s current authorization, clinical need, and whether remote evaluation can meet the standard of care. A Virginia home address does not establish that the patient is physically in Virginia during the appointment. If travel may place you elsewhere, ask an administrative location question before the visit.

Select in-person and home-based services are focused in Northern Virginia. Availability varies by address, service, clinical need, clinician schedule, supplies, travel considerations, and whether care can be delivered safely in that setting. The website does not promise service in a named county, facility, workplace, or home merely because it falls near Lake Ridge. Share the address only through the scheduling or administrative method the practice directs; do not add a medical history to an ordinary location inquiry.

A home visit is scheduled outpatient care, not emergency dispatch. It may not provide the testing, imaging, personnel, or treatment available in a clinic, urgent care, emergency department, or hospital. If the patient becomes unstable, use the level of care the symptoms require. The practice may recommend another setting even when an address is within the travel area.

Privacy by design

Share only what the channel needs

A public website visit and ordinary administrative contact are different from a clinical encounter. The public Contact page is designed to route tasks without collecting medical details. When you call or email, share the minimum needed for that administrative purpose. If the practice needs clinical information, records, images, identification, insurance information, or a signed form, wait for instructions and use the designated system.

Do not assume ordinary email is private because it reaches a healthcare practice. Email may pass through providers, devices, filters, backups, forwarding rules, or accounts outside the clinical system. Do not include health information in a subject line. Avoid social-media direct messages for appointments or care. Do not post appointment confirmations, portal screens, records, or booking links that contain personal parameters.

The Website Privacy Policy explains public-site and ordinary-contact information. The Notice of Privacy Practices, if adopted and applicable, explains uses and disclosures of protected health information and patient rights. The Website Terms govern use of wheelhh.com. These documents are separate because they answer different questions. A third-party scheduler or portal may also publish its own privacy and security information, but those statements do not replace obligations WheelHouse Health may have for its own activities.

  • Administrative task first; clinical details only through the designated route.
  • Check a link’s destination before entering personal information.
  • Do not reuse or share portal credentials.
  • Ask for an approved submission method when records or images are requested.

Communication support

Ask for the access support you need

If a disability, language need, hearing or vision need, cognitive need, limited connectivity, or device limitation affects your ability to use the website or attend a visit, tell the practice what communication task is difficult and what support would help. An administrative request can be made without disclosing a diagnosis. For example, you can ask for help locating a phone-based administrative option, request instructions in an accessible format, or ask how a support person may participate.

A family member, caregiver, interpreter, or personal representative may be able to assist, but access to patient-specific information requires appropriate identity, permission, or legal authority. Do not send legal or identity documents to ordinary email unless the practice specifically directs that method. The patient should participate to the extent appropriate, and privacy expectations should be clear before clinical information is discussed.

Technology trouble does not automatically make a clinical decision safe by ordinary telephone or email. The clinician determines whether the available communication method supports the needed standard of care. If video fails, follow the backup instruction provided for the appointment. The visit may need to be rescheduled or moved to an in-person setting. Accessibility support and clinical appropriateness are related but separate decisions.

  • Describe the communication barrier and requested support, not a detailed diagnosis.
  • Ask how a caregiver, interpreter, or representative can be included appropriately.
  • Use the approved route for identity or authority documentation.
  • Follow the clinician’s direction if the available technology is not adequate for care.

Close the loop

What should I do if I do not receive the expected next step?

First check the route used and the instructions attached to it. Review the scheduler confirmation, portal notifications, spam folder for administrative email, and any visit summary you received. Confirm that the callback information on file is current. Do not reply to an unfamiliar sender with medical details; return to the official wheelhh.com link or published phone number.

If the missing step is administrative, call (571) 402-2102 or email admin@wheelhh.com with a short description such as “booking confirmation question,” “portal access problem,” or “need instructions for an outside record.” Do not include the record or clinical details in the first ordinary email. If the issue concerns a plan price, renewal, cancellation, fee, or included service, identify the dated agreement or confirmation you are referencing and use the process described there.

If the patient’s condition has worsened while waiting, choose care based on the current symptoms rather than the expected message. The absence of a reply is not clinical reassurance. Call 911 for a possible emergency. For a non-emergency clinical follow-up as a current patient, use the portal or the specific route given after the visit. If a public website statement appears outdated, identify the page and date so the practice can review it without publishing or emailing patient information.

  • Administrative follow-up: state the task and the document or date involved.
  • Clinical follow-up: use the designated patient route.
  • Worsening condition: reassess the care setting now.
  • Emergency: call 911.
