Memberships and payment
Website descriptions summarize current public offers and may change. Membership is not health insurance and does not replace emergency, hospital, specialty, imaging, pharmacy, laboratory, or other outside coverage. Prices, eligibility, included services, visit limits, response expectations, recurring billing, cancellation, refunds, and additional charges are controlled by the plan-specific written enrollment agreement presented before enrollment, not by a universal policy on this website.

These Website Terms govern use of wheelhh.com. Public website content is general information, not a diagnosis, treatment plan, emergency service, or substitute for care from a qualified professional. Using the website or sending an administrative inquiry does not by itself establish a practitioner-patient relationship. Clinical services, telehealth consent, memberships, payment, and cancellation are governed by the documents presented for the applicable service or plan.

These terms apply to wheelhh.com, not every healthcare relationship
By accessing or using wheelhh.com, you agree to use the public website lawfully and in accordance with the version of these terms then posted. If you do not agree, do not use the site. You may still contact WheelHouse Health through another published route to ask an administrative question about access to information. These terms should display a last-updated date when approved for publication.
These Website Terms do not replace a patient-service agreement, telehealth informed consent, treatment consent, privacy authorization, membership agreement, financial policy, payment authorization, facility agreement, or patient-specific care plan. Those documents may contain additional terms for the service they address. When a signed or service-specific document addresses an issue directly, that document controls that issue rather than a general website summary.
The Website Privacy Policy explains information connected with the public site and ordinary administrative contact. A formally adopted Notice of Privacy Practices, when applicable, explains uses and disclosures of protected health information and patient rights. Clinical boundary
Website content is education, not individual medical advice
Articles, service descriptions, FAQs, checklists, diagrams, and other public content provide general education. They cannot evaluate your complete history, physical examination, vital signs, records, test results, pregnancy status, medicines, allergies, speed of change, or other facts that may alter a safe decision. Do not use public content to diagnose a condition, choose a prescription, change a medicine, stage a wound, select compression strength, or decide that an urgent symptom can wait.
Viewing a page, following a link, sending an administrative email, leaving a voicemail, or beginning an online booking process does not by itself create a practitioner-patient relationship. That relationship depends on applicable law and the clinical and consent process for the encounter. Safety
The website, email, portal, and routine booking are not emergency services
WheelHouse Health does not provide emergency response through wheelhh.com, ordinary email, portal messages, voicemail, or routine scheduling. These channels may not be reviewed immediately and should not be used for a condition that could threaten life, breathing, circulation, brain function, or immediate safety. Call 911 or seek immediate emergency care for a possible emergency.
Possible warning signs include chest pain, serious trouble breathing, facial droop or new weakness, trouble speaking, loss of consciousness, seizure, uncontrolled bleeding, a severe injury, a severe allergic reaction, or rapid confusion. This is not a complete list. The absence of one example does not mean the website can safely classify the situation. Cost, convenience, an upcoming appointment, or membership status should not delay emergency care.
A portal or email message is not a substitute for a clinically approved on-call service and does not carry a guaranteed response time unless a separate written agreement expressly states one. If symptoms become severe or rapidly worsen while you wait, choose the appropriate higher-acuity setting. A scheduled home visit is outpatient care, not ambulance or emergency dispatch.

Virtual care
Telehealth depends on location, clinical fit, consent, and technology
Public descriptions of telehealth do not establish that a virtual visit is available or appropriate for every person or condition. For each encounter, the practice may need to confirm identity, the patient’s physical location, the clinician’s location and authorization, consent, records, technology, privacy, and whether remote care can meet the applicable standard of care. The patient may be directed to another setting when an examination, specimen, imaging, procedure, or immediate intervention is needed.
Virginia residency is not the same as physical location at appointment time. If you are traveling or outside Virginia, contact the practice before the visit. Do not provide clinical details in ordinary email while asking the location question. Telehealth and insurance terminology can also differ; a phone call, email, portal message, questionnaire, and real-time video visit are not automatically the same legal or clinical service.
Technology can fail. Keep a callback number available and follow the backup instructions for the appointment. The clinician may decide that audio, video, lighting, connection quality, a home device, or the available information is inadequate for safe care. A visit may need to be rescheduled, converted to an in-person encounter, or escalated. WheelHouse Health does not guarantee uninterrupted availability of a third-party platform.
Clinical decisions
No visit guarantees a prescription, refill, test, or referral
Prescribing decisions are made only when clinically appropriate, supported by an adequate evaluation, within the clinician’s scope, and permitted by current Virginia and federal requirements. A patient request, website questionnaire, prior medicine, or payment for a visit does not require the clinician to prescribe. Additional records, identity verification, monitoring, laboratory work, an in-person examination, specialist involvement, or prescription-monitoring review may be necessary.
Do not use public content to start, stop, share, borrow, double, or change a prescription. If you need a refill review, provide the requested information through the designated patient system and allow time for clinical evaluation. A medication request is not complete merely because it was sent. A severe medication reaction or rapidly dangerous symptom belongs in emergency care, not a refill queue.
Testing, referrals, forms, letters, or outside orders also depend on the purpose, available records, clinical findings, and legal or organizational requirements. WheelHouse Health cannot guarantee that an outside laboratory, pharmacy, imaging center, specialist, facility, school, camp, employer, insurer, or government agency will accept an order or document. Fees and coverage for outside services are controlled by those organizations and applicable agreements.
Financial terms
Plan-specific written agreements control memberships and payment
Website pages may summarize current direct-pay visits or membership options. Summaries can change and cannot state every eligibility rule, included or excluded service, visit limit, location condition, response expectation, fee, recurring-billing term, renewal, cancellation, refund, no-show rule, or termination right. Review the plan-specific agreement and payment disclosure presented before enrollment. Save the version you accept.
A membership is not health insurance and does not replace coverage for emergency, hospital, specialist, imaging, pharmacy, laboratory, or other outside services. The membership agreement should identify what WheelHouse provides and what remains the patient’s responsibility. No universal cancellation, refund, or proration rule should be inferred from these Website Terms. The applicable written plan or visit terms control those questions.
Prices, benefits, and availability shown publicly should be verified against the current signed offer matrix and enrollment flow. If a public page conflicts with a written agreement, contact WheelHouse Health before paying or relying on the statement. Do not send payment-card data through ordinary email. Use the designated payment or enrollment system. Emergency care decisions must be based on symptoms, not on whether a service is included.
External destinations
Third-party tools have their own availability and rules
Wheelhh.com links to external services for functions including scheduling and the patient portal. The site currently links to OptiMantra destinations for those purposes. Check the destination before entering credentials or personal information. An external provider may publish its own privacy, accessibility, security, and terms information. Those rules may apply to its service, while WheelHouse Health remains responsible for obligations that apply to its own selection, configuration, or use of the provider.
Other links may lead to government agencies, educational sources, laboratories, pharmacies, specialists, or unrelated websites. A link can identify a source or route; it does not mean WheelHouse Health controls, continuously reviews, or endorses every statement, product, or service at the destination. External content can change without notice. Use the destination’s official contact for questions about its information.
WheelHouse Health does not guarantee that an independent external site will be available, accessible on every device, free from errors, or compatible with your account. Report a broken or suspicious WheelHouse link without forwarding sensitive content. This limitation does not remove responsibilities that apply when a provider is acting on WheelHouse Health’s behalf or when responsibility cannot legally be disclaimed.

You may use wheelhh.com for personal, noncommercial access to public information and legitimate interaction with the routes provided. Do not attempt unauthorized access, bypass access controls, probe or disrupt systems, introduce malicious code, overload services, impersonate another person, harvest contact information, misuse booking or portal links, or use the site to violate law or another person’s rights. Automated access must not interfere with availability or collect personal information.
Unless another owner is identified, WheelHouse Health or its licensors owns the website’s text, visual design, logos, graphics, and compilation. You may print or save a reasonable copy for personal reference. Do not remove notices, falsely imply endorsement, republish substantial content as your own, sell it, train a commercial system on it without permission, or use the WheelHouse name or branding in a way that confuses patients about the source of care.

WheelHouse Health may revise these Website Terms when the site, law, services, or public routes change. The approved page should display the last-updated date. Changes apply prospectively as permitted by law; a website update should not silently rewrite a signed plan or service agreement. Material changes should be communicated in a manner appropriate to their effect, and prior versions should be retained internally with the approval record.
